Southeast Texas Food Bank Volunteer Policy Agreement

Preparation:

  1. Volunteers are encouraged schedule their shifts at least one day in advance, unless they are on a regular weekly schedule.
  2. Volunteers must log in and out of the CERVIS System. This process is critical for emergency situations. The hours are also very important to us for grant writing and reporting purposes.
  3. Volunteers must review our mandatory policy agreement and agree to the terms therein prior to starting volunteer activities at the Food Bank.
  4. Volunteers must wear appropriate clothing. No open toed shoes, no headphones, very limited jewelry. Inappropriate clothing would include short shorts, tank tops, shirts which reveal midriffs and plunging necklines. If these are worn the volunteer will be asked to leave and may return upon correction of the issue.
  5. Volunteers who are tracking hours for school or community service are required to track their own hours. If a volunteer fails to sign out following the completion of their shift the shift will only be accounted for 30 minutes.
  6.  If you have paperwork which requires a signature, the staff member who you worked with may sign off on your paperwork. It is not the responsibility of the Southeast Texas Food Bank, volunteer department or staff to track hours for a volunteer. Your paperwork may not be stored at this facility overnight. On arrival you are to give your paperwork to the volunteer department or staff person who you will work with and it should be ready at the end of your shift or very soon afterwards.

Attendance:

  1. We rely heavily on our volunteers. It is very important for volunteers to show up on time. If you are ill or otherwise need to modify your schedule, please call the Volunteer Coordinator at 409-839-8777 ext. 104.
  2. If a volunteer should need to leave early due to illness or emergency, the volunteer must notify the Volunteer Support Specialist (or other staff) before leaving and sign out of the volunteer management system.
  3. In case of an emergency you should identify yourself as a volunteer and report to the staff person you have been working with or the director of volunteers. The volunteer department must account for all volunteers before leaving the building so please assist us in this if an emergency situation occurs.

Conduct:

  1. Volunteers must treat customers, other volunteers, and staff with dignity, compassion, and respect. Harassment of any kind will not be tolerated.
  2. Water is the only drink approved to bring in the work area.
  3. Volunteers must not eat or drink in the warehouse or office space, unless authorized to do so. The break room is open for volunteers to use as well as staff. The 2nd refrigerator, in the corner, is usually stocked with water, and most of the time, sodas and juice drinks. Please feel free to take a soda or drink as you wish and all the water you want while here.
  4. Smoking is not allowed at the SETX Food Bank. Volunteers may smoke in designated areas only. The designated area is in the back of the building at the picnic table.
  5. We are a drug and alcohol-free workplace. Any volunteer who distributes, possesses, or is under the influence of any drug or alcohol, or whose behavior leads to suspicion of these conditions will have his/her service terminated immediately and asked to leave.

Safety Rules:

  1. Volunteers must always be safety conscious. This includes preventing injuries by using proper lifting techniques and asking for help if needed. Volunteers please report any unsafe conditions or practices to their supervisor or the volunteer department head.
  2. Volunteers must not operate any machinery or equipment unless authorized by their supervisor.
  3. Volunteers must immediately inform their supervisor if they suffer from fatigue, illness, discomfort due to repetitive tasks, side effects of medication, or any other causes that may affect workplace safety.
  4. Volunteers must not engage in any running, horseplay or scuffling at the Food Bank.
  5. Volunteers must keep the work space, restrooms, and break-room clean and orderly. Volunteers are to stack objects to ensure they are do not fall or obstruct aisles, doors, fire exits, or stairs. Volunteers are expected to pick up any trash they find and dispose of it properly.

  7. Volunteers must not use cellular/smart phones, headphones, iPods, MP3 players, or other electronic devices while performing volunteer activities as these devices may impede awareness and alertness. If you must make or take a call please step away from your work area. If you are absent on a call for 15 or more minutes, please sign our until you are ready to return to work.
  8. Any volunteer between the ages of 13 to 17 must be accompanied by an adult while working and the adult shall work along with the teen. Adult volunteers are not allowed to bring children younger than 13 with them to volunteer.
